Materials management is a challenge for branch operations with a high volume of small transactions.
The integration of materials management with the cash register is a must. OktoPOS Cash uses article data from the central OktoPOS Manager database and feeds it with consumption values in return. This is the basis for a functioning materials management.
Consumed articles can be dissolved into their ingredients listed in their recipe. Deliveries and waste are recorded. With this data, a stock account is maintained for every article. After stock count, deviations between expected vs. actual amounts and values is displayed.
The quality of the results depends on the quality of the entered data. For complex and non-standardized production processes, deviations of expected vs. actual quantities are often tolerated.


Inventory with expected vs. actual values
Inventory
Inventory is managed using physical count lists or by entering stock amounts directly in the OktoPOS Manager. Moreover, a mobile device (Android) can be used to capture the inventory by barcode and export it to the OktoPOS Manager. Deviations between expected vs actual amounts / values are displayed. The materials account of a given article can be opened directly from the inventory for deviation analysis.
Inventory valuation is carried out using provided article prices. The inventory comparison function displays the resulting changes in inventory value and booking list for financial accounting purposes.
Purchase Order Recommendation
The purchase order recommendation list considers the sales of the last days and the stock levels. Articles that have a recipe are broken down in the ingredients.
The purchase order recommendation list can be edited manually and be sent by e-mail to the suppliers.

Entry of waste on the cash register
Waste
The expected / actual comparison can only be correct if not only the sales are automatically recorded via the cash register but also waste / breakage.
Waste and breakage can be recorded either directly through the cash register or in the OktoPOS Manager.
At the cash register not only sales items can be recorded as waste but also ingredients.

Articles
An article possesses various attributes which conventional cash register systems do not take into account. In the OktoPOS Manager, the various attributes are entered directly in the article file and are thus available for the other modules.

Prices
An article can be sold in various ways. This may trigger different prices and VAT rates. To avoid creating a separate article for each distribution option, various prices and VAT rates can be entered that depend on the following parameters:

For each branch, the currency can be defined. Thus, the same article can be sold internationally in different branches and different distribution channels. This enables comprehensive article reports.

OktoCapture - Replenishment System
OktoCapture records production output quantities. This is used for inventory management and statistics.
The data is recorded with a touchscreen terminal on which the production items are available as buttons. Alternatively, the items can be captured via barcodes with a scanner.
Articles can be recorded as pieces, weight or volume. Optionally, variants of the article (e.g., colors, sizes, etc.) may be captured.
OktoCapture is directly connected to the OktoPOS material management system. In the inventory management, the stock-level is tracked and inventories are entered. The produced articles are broken down in the inventory management via the recipe or parts-list into their components.
Each transaction can be automatically exported to a third-party system (for example, SAP or Oracle) in real time.

Debtors
Bills can be booked on the customer account with the customer card. The invoices appear in the debtors list in the OktoPOS Manager. If the customer did not identify himself with a customer card at the time of purchase, the name can be added directly in the debtors list. The invoice can be sent as a PDF. Settled bills are marked accordingly.

The cash register can charge customer cards with credit.
Sell your own gift cards with variable values. The value is loaded on the card at the point of sale. Values can be deducted in any amount. Empty cards can be recharged.

Customer Functions in OktoPOS
When creating a voucher, there is the option to print it with the number and QR code with the receipt printer. The voucher can then be stapled in a printed cover.
When you use vouchers with separate numbers that are not generated by the system, the voucher-number can be entered when creating the value account.
An individual value account is stored in the OktoPOS Manager for anonymous gift vouchers and prepaid cards.
This enables partial redemption and use at multiple locations.
An internet connection to the OktoPOS Manager is needed at the time of loading money or charging money on an account, as the value is not stored in the cash register.
Plastic-cards with barcodes or QR codes can be used for prepaid- and customer cards. We recommend RFID cards because they are easier to handle for the operator and for the customer.

Gift Voucher
Sell Gift Vouchers Online and Offline

A dedicated value account is automatically created for each gift voucher. The account is charged at the time of sale of the voucher.
Partial redemptions are possible and the voucher can be re-charged.
The voucher can either be linked to an existing customer account or it can be sold anonymously. In this case, the voucher is linked to an anonymous customer account.
Vouchers do not represent sales when sold. Revenue is generated at redemption.
Self-printed vouchers can be used vouchers that are printed by OktoPOS Cash with the receipt-printer.
For self-printed vouchers, the voucher-number can either be generated by OktoPOS Cash and the number is written on the paper voucher or the number is already printed on the voucher and it is entered in the cash register at the time of sale. Thus, the voucher will be found when it is redeemed under this number.
Online Sales of Gift Vouchers

Simply sell gift vouchers through your own homepage. The OktoPOS voucher sale module is easily integrated with an iFrame.
The customer pays the voucher online and receives it by e-mail as a PDF in your design. Optionally, you can also send the voucher to the customer by mail.

The customer account can hold a balance in credit or debit, allowing flexibility in payment.
With this function, your customers can make purchases or place orders at the cash register and choose to pay later. Payments can be made on the same day or at a future date, such as two weeks later or upon delivery of the goods.
This feature is especially useful for clubs or hotels, where members or guests can charge their purchases to an account and settle the balance at a later time directly at the cash register. Any form of payment can be used to clear the balance, providing convenience and flexibility for both the business and its customers.

Top up credit via hardware terminal or online shop.
With OktoPOS, prepaid cards and gift vouchers can easily be topped up with the desired credit. This can be done with the OktoTopUp hardware terminal and with an online top-up function.
The topped up prepaid cards can be used as a means of payment at an OktoPOS cash register or at an OktoPOS Self checkout terminal. E.g. in a company restaurant, at schools, etc.


Gift vouchers are usually loaded individually directly upon purchase. However, if the customer does not yet want to commit to an amount, he can do so at a later date.
For example, a restaurant issues a blank gift voucher with a serial number and the customer then loads it himself via the online shop.

Feedback terminals have a dual use. Customers can leave feedback (OktoFeedback) and employees can perform control checks with their staff card (OktoCheck).

How do I get my client's data?
OktoPOS offers a login for tax consultants. With that you have access to all the important areas of the system. All you need is a computer with an internet connection. Yes. If your client operates multiple branches, you can select multiple branches for export, and export the sales into one file.
Can the sales data also be imported into my accounting system on a daily basis?
In principle, it is possible for the OktoPOS system to store the sales export on your server on a daily basis. There is a one-off cost to set up the automatic export. Because of the simple and very fast handling of the sales export in the OktoPOS Manager, which usually is only done once a month with very little time, the automated connection is not worthwhile in most cases and brings hardly any time advantage.

Can the OktoPOS Manager be deleted after the end of the contract?
From our point of view, the OktoPOS Manager and data are subject to the statutory retention periods. In case of a subsequent tax audit, system access can be requested. A pure data export is sufficient regularly does not meet the requirements. However, we cannot and must not make any legal or legal representations in this regard and follow the instructions of our clients.
How do I book the sales?
The easiest way is to use the financial accounting export. You can find it in the left navigation in the OktoPOS Manager Financial Accounting –> Financial Accounting Export.
The export is generated in seconds at the push of a button as a CSV file. This CSV file is recognized and interpreted by your accounting program when you import them.
Which periods can I book?
You have the choice between individual transactions, entire days or other selectable periods such as weeks or months.
If you choose a period, e.g. a month, you can choose whether the sales for the entire period are to be accumulated or broken down into individual days.
So with a single export, once a month, you can book every single day of the month in no time.
Which document summarizes the daily sales for accounting?
Please use the cash report. You can find it under Accounting > Cash register accounts and reports > Cash report. In contrast to the cash register closing or Z-report, the cash register report always covers an entire business day, even if several cash registers were closed on the day. The cash register report represents the tax basis for financial accounting in the OktoPOS system.
What does it mean if the cash report is preliminary?
The cash report is provisional until the OktoPOS Manager has ensured that all bookings arrived at the cash register in the OktoPOS Manager. This determination can only be made when the first receipt of the following day is posted. This is the only way for the OktoPOS Manager to clearly identify which was the last receipt number of day.

The sales export makes the work for financial accounting much easier.
Sales are exported from the OktoPOS Manager as a CSV file and imported into the accounting program.
The export can be set to be compatible with all accounting programs, including Datev of course.

Sales can be exported in one go for multiple days and multiple stores.
To set up the export function, simply enter the chart of accounts in the OktoPOS Manager and assign a revenue account to each sales article based on its VAT rate. This way, you can easily break down your sales in your P&L by goods groups or categories, depending on your needs.
